How DeepTenant handles your data

DeepTenant is software for screening and underwriting commercial real estate deals. Firms put confidential deal documents into it, so the rules below are built into how the product works, not added on top.
What we collect
- Account details: your name, work email, firm name, and role, plus the members you invite.
- Deal data you provide: documents you upload or forward (offering memoranda, rent rolls, T-12s, leases, comps, cost-outs), the figures extracted from them, your assumptions, notes, deal outcomes, and the screens and evaluations produced from them.
- Connector requests: when you use DeepTenant from Claude or another AI client, the content of each tool call (deal figures, text or files you choose to save, notes, search terms). We do not receive or read your chat history.
- Usage records: an audit log of actions in your workspace (who ran, viewed, exported, approved, or deleted what, and when).
- Billing: handled by Stripe. We store your plan and Stripe customer reference, never card numbers.
- Applications and feedback: what you send in the Founding Beta form or the Feedback button.
Personal data inside documents
Rent rolls and leases often contain residents' or guarantors' names, Social Security numbers, and contact details. DeepTenant drops these when a document is read: they are not stored in extracted records, not sent to the search index, and a second automated check strips common identifiers before anything is indexed. The original file stays in your workspace's private storage until you delete it.
How we use it
- To run the product for you: read documents, compute screens and evaluations, keep your deal record, and answer your questions about it.
- To operate the service: authentication, billing, email you ask for (sign-in, invites, finished evaluations), support, and security.
- To improve the product from feedback you send and from aggregate usage counts.
We do not sell your data, and we do not use your documents or deal data to train AI models. Our AI provider processes requests to produce your output under terms that do not permit training on that data.
Who can see it
Each firm's data is isolated at the database level, and that isolation is tested automatically on every release. Members of your workspace can see your firm's deals. No other firm can. Cross-firm benchmarks, if your firm opts in, use only de-identified comparable figures in groups of at least five, never documents, notes, or your history.
Service providers
We use these providers to run DeepTenant; each processes data only to provide its service to us:
- Supabase: database, sign-in, and private file storage
- Vercel: hosting
- Anthropic: AI models that read documents and write narrative
- Voyage AI: search embeddings of de-identified text
- Inngest: background job processing
- Resend: email delivery
- Stripe: payments
- Google Maps and Mapbox: street and satellite images from the locations of your deals
Public data sources we read from, such as the Federal Reserve's FRED series and county tax rates, receive no data about you.
How long we keep it
Your data stays while your workspace exists, including after a paid plan or the Founding Beta ends (the workspace moves to Free and keeps everything). You can delete individual deals and documents in the app. To delete your whole workspace, email us; we delete it and its files within 30 days, except billing records we must keep by law. Backups roll off on our providers' standard schedules.
Your choices
- Export your evaluations (Word and Excel) at any time.
- Disconnect Claude or other AI clients, or revoke API keys, in Settings.
- Ask us what we hold about you, correct it, or delete it.
